1. Purpose

This Contracted Rate Confidentiality Policy explains how Bintan Voyage protects confidential rates, supplier agreements, pricing arrangements, commissions, margins, booking terms, and other commercially sensitive information received, negotiated, created, or maintained in connection with its travel services.

The purposes of this Policy are to:

  • Protect confidential commercial relationships;
  • Preserve the integrity of negotiated and contracted supplier rates;
  • Prevent unauthorised disclosure, copying, distribution, or misuse of rate information;
  • Maintain fair and professional dealings with hotels, resorts, villas, transport providers, ferry operators, activity operators, restaurants, venues, and other suppliers;
  • Protect Bintan Voyage’s pricing methods and commercial advantage;
  • Clarify what pricing information may be provided to customers;
  • Establish appropriate access, storage, disclosure, and incident-management standards.

This Policy applies to Bintan Voyage personnel, representatives, contractors, consultants, suppliers, partners, booking agents, and other parties who receive access to confidential commercial information through Bintan Voyage.

3. Scope of Contracted Rate Information

Bintan Voyage works with accommodation providers, transport companies, activity operators, ferry services, restaurants, venues, ticketing providers, travel partners, and other suppliers under a variety of commercial arrangements.

These arrangements may include:

  • Contracted rates;
  • Negotiated rates;
  • Net rates;
  • Wholesale rates;
  • Group rates;
  • Corporate rates;
  • Promotional rates;
  • Package rates;
  • Seasonal rates;
  • Dynamic rates;
  • Advance-purchase rates;
  • Volume-based rates;
  • Commissionable rates;
  • Complimentary or added-value arrangements;
  • Special booking conditions;
  • Private commercial offers.

The applicable rate type, conditions, validity period, and booking procedure may vary by supplier, destination, package, travel date, room type, activity, vehicle, group size, or other commercial factor.


4. Meaning of Confidential Commercial Information

For the purposes of this Policy, confidential commercial information includes non-public information relating to:

  • Supplier net rates;
  • Contracted prices;
  • Rate sheets;
  • Commission percentages;
  • Mark-ups and margins;
  • Rebates;
  • Incentives;
  • Volume arrangements;
  • Free-of-charge allocations;
  • Promotional allocations;
  • Credit terms;
  • Payment terms;
  • Deposit requirements;
  • Cancellation conditions;
  • Release periods;
  • Stop-sale notices;
  • Blackout dates;
  • Inventory allocations;
  • Booking-account access;
  • Supplier contact information;
  • Negotiation records;
  • Pricing formulas;
  • Package-cost breakdowns;
  • Internal costing tools;
  • Supplier assessments;
  • Sales volumes;
  • Commercial forecasts;
  • Contract terms;
  • Other non-public pricing or operational information.

Confidential commercial information may exist in written, verbal, electronic, visual, printed, or system-generated form.


5. Sources of Contracted Rates

Contracted and negotiated rates may be established or received through:

  • Supplier agreements;
  • Rate contracts;
  • Official supplier emails;
  • Booking portals;
  • Supplier extranets;
  • Direct negotiations;
  • Group quotations;
  • Corporate proposals;
  • Seasonal promotions;
  • Sales visits;
  • Long-term commercial relationships;
  • Booking histories;
  • Approved rate updates;
  • Other recognised commercial channels.

Bintan Voyage may maintain different arrangements with different suppliers. The existence, form, and commercial terms of one supplier relationship do not determine the terms applicable to another supplier.


6. Ownership of Commercial Information

Supplier-issued rates, contracts, commercial conditions, brand information, and proprietary materials remain subject to the rights and restrictions of the relevant supplier or authorised rights holder.

Bintan Voyage retains rights in its own:

  • Package structures;
  • Internal pricing models;
  • Cost calculations;
  • Mark-up decisions;
  • Itinerary combinations;
  • Negotiation records;
  • Customer quotations;
  • Commercial analyses;
  • Supplier comparisons;
  • Sales strategies;
  • Operational methods;
  • Other internally developed business information.

Access to confidential information does not transfer ownership or grant the recipient a right to publish, reproduce, distribute, sell, sublicense, or use it for an unrelated purpose.


7. Confidentiality Commitment

Bintan Voyage treats contracted-rate information as confidential unless:

  • The supplier has authorised its public disclosure;
  • The information has lawfully entered the public domain;
  • Disclosure is required for an authorised booking;
  • Disclosure is required by applicable law or a competent authority;
  • The information is otherwise permitted to be disclosed under the relevant agreement.

Bintan Voyage does not ordinarily publish:

  • Supplier net rates;
  • Contracted rate sheets;
  • Commission structures;
  • Internal mark-ups;
  • Gross margins;
  • Negotiated rebates;
  • Supplier incentives;
  • Commercial correspondence;
  • Internal package-cost breakdowns;
  • Confidential supplier terms.

Customers receive the retail package price and confirmed inclusions applicable to their own booking, rather than Bintan Voyage’s confidential supplier-cost structure.


8. Customer Pricing

The price offered to a customer may combine several travel components, including:

  • Accommodation;
  • Transfers;
  • Ferry travel;
  • Activities;
  • Guides;
  • Meals;
  • Attraction tickets;
  • Operational coordination;
  • Booking administration;
  • Customer support;
  • Taxes;
  • Surcharges;
  • Other confirmed services.

Bintan Voyage may provide customers with:

  • The total package price;
  • The price of an optional upgrade;
  • A supplement for an additional service;
  • A child, adult, single, or group rate;
  • A deposit and balance schedule;
  • Principal inclusions and exclusions;
  • Applicable payment and cancellation conditions.

Bintan Voyage is not required to disclose its supplier costs, commissions, internal margins, negotiated terms, or the separate cost of every component unless such disclosure is expressly required by the applicable booking agreement or law.

The price stated in the final quotation or booking confirmation is the customer-facing price for the specified arrangement.


9. Why Contracted Rates May Differ From Public Rates

A Bintan Voyage contracted or negotiated rate may differ from a publicly displayed price because the underlying conditions may differ.

Relevant factors may include:

  • Room category;
  • Travel dates;
  • Minimum stay;
  • Number of guests;
  • Meal plan;
  • Package combination;
  • Booking volume;
  • Group size;
  • Deposit schedule;
  • Payment timing;
  • Cancellation conditions;
  • Refundability;
  • Inventory allocation;
  • Promotional period;
  • Supplier availability;
  • Included benefits;
  • Taxes and surcharges;
  • Distribution costs;
  • Other commercial conditions.

A lower visible price does not necessarily represent the same accommodation, service level, private-tour arrangement, inclusions, flexibility, or booking conditions.

Any price comparison should therefore be based on materially comparable services and terms.


10. Pricing Independence

Bintan Voyage independently determines the customer-facing prices for the packages and services it sells, subject to applicable supplier agreements, confirmed costs, commercial conditions, and applicable law.

Each supplier independently determines the rates, availability, restrictions, and commercial conditions that it offers to Bintan Voyage.

Nothing in this Policy:

  • Requires a supplier to offer a particular rate;
  • Requires Bintan Voyage to use a particular supplier;
  • Establishes a fixed retail price across unrelated businesses;
  • Restricts a supplier from dealing with other travel companies;
  • Restricts Bintan Voyage from negotiating with other suppliers;
  • Creates an exclusive arrangement unless separately agreed in writing.

Bintan Voyage may revise its retail prices according to market conditions, supplier costs, operational requirements, exchange-rate movements, demand, availability, and package scope.


11. Access Control

Access to confidential rate information is limited to authorised persons who require the information for legitimate business purposes.

Authorised purposes may include:

  • Preparing quotations;
  • Confirming reservations;
  • Costing travel packages;
  • Negotiating supplier terms;
  • Processing supplier payments;
  • Reconciling invoices;
  • Managing customer changes;
  • Reviewing commercial performance;
  • Conducting internal audits;
  • Handling disputes;
  • Meeting legal or accounting requirements.

Access may be limited according to role, supplier category, booking responsibility, system permission, or operational need.

No person should access, download, copy, photograph, forward, or store confidential rate information without a legitimate and authorised purpose.


12. Internal Handling Standards

Confidential rate information should be handled using reasonable safeguards, which may include:

  • Role-based system access;
  • Password-protected accounts;
  • Controlled folders;
  • Restricted documents;
  • Secure booking platforms;
  • Approved company devices;
  • Controlled printing;
  • Document watermarks;
  • Version control;
  • Expiry-date tracking;
  • Access logging;
  • Secure deletion;
  • Staff confidentiality obligations.

Rate documents should not be left unattended in public areas or shared through unauthorised personal accounts, public links, open messaging groups, or unsecured storage systems.


13. Supplier Portals and Booking Accounts

Supplier portals, extranets, booking systems, rate platforms, and account credentials may contain confidential commercial information.

Access credentials must not be:

  • Shared with unauthorised persons;
  • Published;
  • Included in public documents;
  • Stored in unprotected files;
  • Used for unrelated bookings;
  • Used after access permission has ended;
  • Used to extract information for a competitor;
  • Used in a manner inconsistent with the applicable supplier terms.

Bintan Voyage may revoke or restrict access when a staff member, contractor, or partner no longer requires it.


14. Personnel and Contractor Obligations

Employees, representatives, consultants, designers, developers, accountants, sales agents, booking staff, and other contractors with access to confidential pricing information must use it only for authorised Bintan Voyage business.

They must not:

  • Share rates with competitors;
  • Use rates for a personal business;
  • Offer Bintan Voyage rates through an unauthorised channel;
  • Copy supplier databases;
  • Publish rate sheets online;
  • Forward confidential contracts;
  • Disclose commissions or margins to customers without authority;
  • Retain information after their authorised access ends;
  • Use confidential information to divert a booking;
  • Use the information to approach suppliers dishonestly;
  • Circumvent Bintan Voyage’s established commercial relationship.

Confidentiality obligations may continue after employment, engagement, access, or commercial cooperation has ended.


15. Disclosure to Travel Partners and Subcontractors

Bintan Voyage may share limited confidential information with an authorised travel partner, contractor, accountant, payment provider, technology provider, legal adviser, auditor, or service provider where access is reasonably necessary.

Disclosure should be limited to the information required for the relevant purpose.

Recipients may be required to:

  • Maintain confidentiality;
  • Use the information only for the authorised task;
  • Apply appropriate security controls;
  • Restrict further disclosure;
  • Return or delete information when no longer required;
  • Comply with contractual and legal obligations.

Providing information for one booking or assignment does not grant continuing or unrestricted access.


16. Disclosure to Customers

Customers may receive information reasonably required to understand and confirm their booking, including:

  • The final selling price;
  • Payment schedule;
  • Package inclusions;
  • Important exclusions;
  • Room or service category;
  • Cancellation terms;
  • Booking validity;
  • Relevant supplier conditions.

Customers are not ordinarily entitled to obtain:

  • Supplier contracts;
  • Net rates;
  • Commission statements;
  • Internal mark-ups;
  • Internal cost sheets;
  • Negotiation correspondence;
  • Supplier portal screenshots;
  • Unredacted commercial records;
  • Pricing information relating to another customer;
  • Pricing information relating to an unrelated booking.

Bintan Voyage may decline requests for confidential commercial information while continuing to provide the information reasonably necessary for the customer’s confirmed booking.


17. Quotations and Commercial Proposals

Bintan Voyage quotations, proposals, itineraries, and package-price documents are prepared for the identified recipient and intended booking purpose.

Unless otherwise stated, recipients must not:

  • Publish the quotation;
  • Distribute it to unrelated parties;
  • Remove Bintan Voyage identification;
  • Present it as their own commercial offer;
  • Use it to bypass Bintan Voyage;
  • Extract supplier information for an unrelated negotiation;
  • Resell the quotation without authorisation;
  • Alter the quotation and represent it as approved;
  • Use an expired quotation as evidence of a current price.

Bintan Voyage may include confidentiality, validity, and permitted-use notices in quotations or proposals.


18. Prohibition on Circumvention

Confidential pricing information must not be used to bypass, undermine, or improperly exploit Bintan Voyage’s commercial relationships.

Unauthorised circumvention may include:

  • Using a confidential quotation to approach a supplier directly for the same negotiated arrangement;
  • Disclosing Bintan Voyage’s rate to obtain a competing offer;
  • Using supplier contacts obtained through Bintan Voyage for an unrelated commercial purpose;
  • Redirecting a confirmed or prospective booking without authority;
  • Reproducing a Bintan Voyage package through another seller using confidential costing information;
  • Using Bintan Voyage’s negotiated terms after the relevant relationship has ended.

This section does not prevent customers or suppliers from exercising their lawful commercial rights. It protects confidential information and established commercial arrangements from unauthorised misuse.


19. Price Changes and Rate Validity

Contracted rates may be subject to:

  • Validity periods;
  • Seasonal periods;
  • Stop-sale notices;
  • Blackout dates;
  • Inventory restrictions;
  • Currency adjustments;
  • Tax changes;
  • Fuel or transport surcharges;
  • Supplier amendments;
  • Minimum-stay requirements;
  • Group-size requirements;
  • Other conditions.

A supplier rate becoming available internally does not guarantee that the rate will remain available until the customer confirms the booking.

Bintan Voyage quotations remain valid only for the period stated in the quotation.

Where no validity period is stated, pricing and availability remain subject to confirmation before payment and final booking acceptance.


20. Expired and Superseded Rates

Rate sheets and commercial terms must be reviewed for validity before use.

Expired, replaced, withdrawn, or superseded rates should not be used for new customer quotations unless the supplier confirms their continued validity.

Bintan Voyage may retain previous rate documents for:

  • Accounting;
  • Audit;
  • Booking history;
  • Dispute resolution;
  • Contract administration;
  • Commercial analysis;
  • Legal or evidentiary purposes.

Archived rates must be clearly distinguished from current rates.


21. Public Promotions

Bintan Voyage may publish a promotional or package price when authorised and commercially appropriate.

A public promotion should identify relevant conditions where necessary, such as:

  • Travel period;
  • Booking period;
  • Minimum occupancy;
  • Room category;
  • Package inclusions;
  • Availability;
  • Weekend or holiday supplements;
  • Blackout dates;
  • Cancellation terms;
  • Other material conditions.

Publishing a customer-facing promotional price does not make the supplier’s underlying net rate, commission, or commercial agreement public.

Bintan Voyage may amend, suspend, or withdraw a promotion in accordance with its published terms and applicable law.


22. Confidentiality Does Not Prevent Honest Customer Information

This Policy does not permit Bintan Voyage to conceal material information that customers reasonably need to make an informed booking decision.

Bintan Voyage will provide clear information regarding:

  • The total payable price;
  • Principal package inclusions;
  • Material exclusions;
  • Payment deadlines;
  • Relevant cancellation conditions;
  • Confirmed service type;
  • Material supplements;
  • Important booking restrictions.

Commercial confidentiality protects internal cost structures and supplier agreements. It does not replace the obligation to communicate customer-facing booking terms accurately.


23. Permitted Disclosures

Confidential information may be disclosed where reasonably necessary:

  • With the supplier’s authorisation;
  • To complete or administer a confirmed booking;
  • To professional advisers bound by confidentiality;
  • For accounting, audit, insurance, banking, or payment purposes;
  • To investigate fraud, misconduct, or a dispute;
  • To comply with a court order;
  • To respond to a competent regulator or public authority;
  • To comply with applicable law;
  • To protect the lawful rights or interests of Bintan Voyage, a supplier, or a customer.

Where reasonably possible, disclosure will be limited to the information necessary for the relevant purpose.


24. Accidental or Unauthorised Disclosure

Any suspected loss, unauthorised access, accidental disclosure, publication, or misuse of contracted-rate information should be reported promptly to:

Relevant incidents may include:

  • A rate sheet sent to the wrong recipient;
  • A public link containing confidential rates;
  • Unauthorised system access;
  • A stolen device;
  • Misuse of a supplier portal;
  • Publication of an internal cost sheet;
  • Disclosure by a contractor;
  • Unauthorised forwarding of a commercial agreement.

Bintan Voyage may take steps including:

  • Restricting access;
  • Removing public content;
  • Changing passwords;
  • Contacting affected suppliers;
  • Preserving evidence;
  • Reviewing the scope of disclosure;
  • Requesting deletion or return;
  • Applying corrective action;
  • Enforcing contractual rights;
  • Referring the matter to professional advisers or competent authorities.

25. Retention and Deletion

Confidential rate information may be retained for as long as reasonably required for:

  • Active bookings;
  • Contract administration;
  • Supplier relationships;
  • Accounting;
  • Taxation;
  • Audit;
  • Dispute resolution;
  • Legal obligations;
  • Commercial analysis;
  • Fraud prevention;
  • Historical booking records.

When confidential information is no longer required, Bintan Voyage may securely delete, destroy, archive, anonymise, or restrict access to it according to its operational and legal requirements.

The expiry of a rate does not automatically remove its confidential status.


26. Supplier Requests

A supplier may request that Bintan Voyage:

  • Correct an inaccurate rate;
  • Replace an expired rate sheet;
  • Restrict access;
  • Update commercial conditions;
  • Remove an unauthorised public disclosure;
  • Confirm deletion of specified information;
  • Review suspected misuse.

Requests should be submitted through an authorised supplier representative to:

Bintan Voyage may verify the requester’s identity and authority before taking action.


27. Customer and Third-Party Requests

Requests for commercial records, supplier contracts, net prices, commissions, margins, or rate sheets will be reviewed according to:

  • The requester’s identity;
  • The reason for the request;
  • The applicable booking;
  • Contractual obligations;
  • Confidentiality restrictions;
  • Legal requirements;
  • The rights of affected suppliers and customers.

Bintan Voyage may provide a summary, confirmation, redacted document, or customer-facing explanation instead of disclosing confidential source material.


28. Breach of Confidentiality

Unauthorised use or disclosure of confidential commercial information may result in appropriate action.

Depending on the circumstances, this may include:

  • Access suspension;
  • Account revocation;
  • Removal from a project;
  • Supplier or contractor suspension;
  • Termination of engagement;
  • Request for return or deletion;
  • Preservation of evidence;
  • Contractual enforcement;
  • Recovery of reasonably demonstrable losses;
  • Other available remedies.

The action taken will depend on the nature, seriousness, impact, intent, and applicable contractual or legal framework.


29. No Waiver

A failure or delay by Bintan Voyage to enforce a confidentiality right in one instance does not waive that right or prevent later enforcement.

Authorised disclosure of a particular rate, document, or term does not make unrelated confidential information public.

Permission granted for one purpose, recipient, booking, or period does not constitute unrestricted permission for another purpose.


30. Relationship With Supplier Agreements

This Policy provides Bintan Voyage’s general public confidentiality framework.

Where a supplier contract, rate agreement, non-disclosure agreement, booking-platform condition, or other written commercial agreement imposes stricter confidentiality requirements, those requirements will apply to the relevant relationship.

Nothing in this Policy:

  • Replaces a signed supplier agreement;
  • Expands a recipient’s access rights;
  • Overrides a valid confidentiality clause;
  • Makes confidential rates publicly available;
  • Guarantees the continuation of any rate;
  • Requires disclosure beyond an applicable contractual or legal obligation.

31. Policy Review

This Policy may be reviewed when there is a material change involving:

  • Supplier arrangements;
  • Commercial systems;
  • Booking procedures;
  • Data-security controls;
  • Contracted-rate management;
  • Applicable legal requirements;
  • Confidentiality risks;
  • Bintan Voyage operations.

The version published on the official Bintan Voyage website is the current public version.


32. Contracted Rate Confidentiality Statement

Bintan Voyage protects the confidential rates, commercial terms, and pricing arrangements entrusted to us by hotels, resorts, villas, transport providers, activity operators, venues, restaurants, and other travel suppliers. Customers receive clear package prices and booking terms, while supplier net rates, contracts, commissions, and internal costing information remain confidential.
